PLEASE READ CAREFULLY
We respectfully remind all our guests that a reservation on payment of a deposit constitutes a contract subject to the Terms and Conditions below.
Failure to read the Terms and Conditions does not absolve guests from their responsibilities towards them.
We advise that insurance cover be taken out at the time of booking to cover any eventualities relating to a cancellation, shortening, postponement or bringing forward of your booking.
Arrival, Check-In and Check-Out
Check-in time is between 4 and 7pm. If arrival after 7pm is anticipated or a possibility, then do please let us know at the time of booking.
Not being a hotel with a 24-hour receptionist, arrival and check-in after 10 pm is by prior arrangement only.
Check-out time is by 11 am.
Payments
We accept payments by cheque (deposits only), cash or credit / debit cards. Payment by debit card (Maestro, Switch or Delta) is free. However, payment by credit card will incur a charge of £1.50 per 'one-night' payment per room.
This charge of £1.50 per 'one-night' payment per room also applies to refunds to credit cards in the event of a cancellation.
Cancellation Policy
Cancellations are subject to the charges listed below. Once again, we advise that insurance cover be taken out at the time of booking to cover any eventualities relating to a cancellation, shortening, postponement or bringing forward of your booking.
Days prior to your stay -- Cancellation charge
More than 30 ---------------- £5.00
15 to 30 ----------------------- 10% of deposit
7 to 14 ------------------------- 50% of deposit
2 to 7 --------------------------- Full deposit
For cancellations less than 2 days prior to your stay, we reserve the right to charge you the full cost of your proposed stay. If, however we are able to let the room for the full duration of your proposed stay, the cancellation charge will be £5.00.
We regret that a shortening, postponement or bringing forward of your booking will technically count as a cancellation of the original booking (and subject to a cancellation charge as detailed above) and the making of a new one.
Cancellation charges are not inclusive of credit card charges.
A 'no show' counts as a cancellation.
Deposits
As a general rule, we will ask guests for a deposit to reserve their booking. We accept deposits by cheque or by card over the phone.
If deposits are paid by cheque, we will email you on receipt of your cheque. Please note that to most intents and purposes this email will be a confirmtaion of your booking. Technically however, your reservation is only finally confirmed after the cheque has cleared.
Reservations by deposits paid by card over the phone will be confirmed by email, within 48 hours of your deposit payment
Email addresses given to us by you over the phone may occasionally be subject to some error, despite best efforts on both sides. In this case, if you have not received a confirmation email within 48 hours of your deposit payment by card please contact us to confirm all is well.
In general, the deposit amount is linked to the length of your stay as detailed below

1 to 3 days -------------------- 1 night’s equivalent
Non-Smoking
Smoking at Oakthwaite House is now against the law. Please note that in the event of any breach of this, we reserve the right to report the guest(s) to the authorities; the guest will also be asked to leave immediately.
Furthermore, the guest(s) responsible will be liable for professional cleaning costs in addition to the balance of the cost of their proposed stay.
Damage
We reserve the right to charge guests for cleaning, repair and/or replacement costs as a result of damage to any item or part of our property.
Other
We reserve the right not to accept your booking.
In extreme and rare circumstances we reserve the right to cancel your booking or accommodate you in a different room to the one you booked. In these instances we will try to give you as much advance notice as we can, give you a full refund as appropriate and help with contact details of other B&Bs as necessary.
